- Your business name, license number, and phone
- Customer name and job address

2. Scope of work — one clear paragraph
Write it the way you’d say it out loud: “Replace a 40-gallon gas water heater in the garage, haul off the old one.” This paragraph is what an argument gets settled against later, so make it specific.
3. Line items, split by category
- Labor — the work itself, priced at your rate
- Materials — parts and equipment, priced at cost plus markup
- Other — permits, disposal, anything that doesn’t fit the first two
4. Totals
- Subtotal, tax if applicable, and the total — computed, never estimated in your head
- Deposit due, if you collect one, as its own clearly labeled line
5. Assumptions and terms
What’s included, what isn’t, how long the price is valid. This section is boring and it’s the one that saves you from mid-job arguments more than any other.
6. A way to say yes
A signature line, at minimum. Better: a link where the customer can accept, sign, and pay a deposit without a phone call.
