“Integrates with your accounting and project management tools” is on almost every estimating software landing page, and it means very different things from one product to the next. Before you count on it, it is worth knowing what “integration” actually covers.
The three levels of “integration”
- True two-way sync. A change in one tool updates the other automatically, both directions. Rare, and usually only offered with a handful of named partner products — check the specific list, not the general claim.
- One-way export. The estimating tool produces a CSV, PDF, or invoice you move into your accounting software yourself. Useful, common, and honestly labeled “export” more often than “integration.”
- Parallel tools that do not talk at all. You use one for estimating and a separate one for dispatch or books, and nothing passes between them automatically. This is more common than marketing pages suggest, and it is not necessarily a problem — plenty of contractors run this way on purpose.
What actually matters day to day
For most small trade businesses, the integration that matters most is not accounting software at all — it is what happens between the estimate and getting paid. Does accepting the estimate create an invoice automatically? Can the customer pay a deposit online without a separate payment step? Does that payment mark the invoice paid without you checking a bank statement? That chain matters more day-to-day than whether line items sync into a general ledger.
An honest note on accounting
Toolbelt does not offer a two-way sync with accounting software like QuickBooks or Xero today — it is not an accounting system, and most contractors using it keep their existing bookkeeping software or accountant for that. What it does handle end to end: an accepted estimate can automatically create the invoice, the customer pays a deposit or balance through the contractor’s own Stripe account, and the invoice marks itself paid the moment that payment lands — the part of the money flow that happens fastest and most often. If deep accounting sync is the deciding factor for you, that is worth confirming directly before you switch, for any tool you are considering.
Project management
Same honesty applies here: Toolbelt is not a scheduling or crew-dispatch platform, and most contractors using it keep whatever they already run for that — the point is to be the fast lane for the part everyone dreads, writing the quote, not to replace the software you already trust for the rest of the job.
